Understanding the Extraction Process
The Human Resources extraction process imports two types of data into Personnel Budgeting's work file: reference table data and employee payroll information. Besides this information, Personnel Budgeting also references two Human Resources tables directly.
The purpose of the extraction is to protect the information in your Human Resources database so that you can continue to process payrolls. After you run the extraction process, you can adjust the tables, pay rates, benefits, and other information in Personnel Budgeting without affecting your payroll records.
Following are specifics on the types of Human Resources information used in Personnel Budgeting:
Extracted Human Resources Tables
The system extracts data from the following Human Resources tables:
|
Additional Duty |
FICA/Medicare |
Pay Code |
|
Deduction (benefits) |
Job Class |
Workers' Comp |
Position Control Tables
If you use Position Control, the system also extracts data from these tables:
|
Position |
Organization Distribution |
|
Position Pay Rate |
Project Distribution |
Additional Payroll Tables
In addition to the extracted table data, Personnel Budgeting references the following Human Resources tables directly:
|
Salary Schedule |
Calendar |
If changes are anticipated for the budget year, new calendars and salary schedules should be set up in Human Resources.
Extracted Employee Payroll Data
The system extracts pay rate and benefit information from employee records in Human Resources. If you use Position Control, the system also extracts employee position data. After the extraction, you can assign new table records to employees, adjust pay rates, and make other changes to your employee records in Personnel Budgeting as needed.
In 25.7, you can Extract Future Pay Rates for Budget Fiscal year under Initial Extract Setup.
-
If the option is selected, and an employee has a future pay rate with an effective date within the budget fiscal year, then the future pay rate information will be loaded into Personnel Budgeting instead of the current pay rate information.
-
If a future pay rate is occupied but has an end date on the position assignment it will not be loaded into Personnel Budgeting.
If your account structure needs to be changed in accordance with the Every Student Succeeds Act (ESSA), refer to the PowerSchool ERP Human Resources and Payroll Every Student Succeeds Act Fiscal Year-End Checklist for details on updating Deduction, Pay Code, and Tax tables with new year information.
Following is the general procedure associated with the extraction process, including preliminary and follow-up steps:
-
Add records in Human Resources' Calendar and Salary Schedule tables to accommodate changes for the budget year. If needed, you can also add records to other Human Resources tables included in the extraction.
Caution
While you may add new records to a table in Human Resources and Position Control, do not change any existing table records that are assigned to employees.
