Before saving the information in your current work file, you must create a blank iteration, known as a template. A template is a mirror image of a budgeting work file in that it contains an identical set of tables for storing records.
An iteration is identified by two pieces of data: the year currently stored in the Budget Preparation Profile and the iteration number assigned. Since you cannot change the year in the Iteration Information page, the system assumes the stored year and only displays iterations for that year.
This section covers procedures for adding, viewing, updating, and deleting iteration templates. It also includes the procedure for generating the Position Budget Iteration Table report, which lists selected iterations for the current year.

Action Bar Item
The Iteration Information page's Action Bar displays the following item when you click Add New to add a new iteration template.

Adding an iteration template

Select Personnel Budgeting > Entry & Processing > Iterations > Iteration Information to display the Iteration Information page.

Click Add New.

In the Iteration Data section, complete the fields as outlined in the Fields section below.

Click OK to save the record.
Searching for, listing, and viewing existing iteration templates

Select Personnel Budgeting > Entry & Processing > Iterations > Iteration Information to display the Iteration Information page.

In the Search Criteria section, enter criteria identifying the records to list, and then click Find.
The first record is selected, and its data displays below the list in the Iteration Data section. -
To view the data in another record, select a different template using either the mouse, down arrow, or <Tab>.
Updating a template's header record

Select Personnel Budgeting > Entry & Processing > Iterations > Iteration Information to display the Iteration Information page.

In the Search Criteria section, enter criteria identifying the records to list, and then click Find.

In the List section, select the template to update.

Click OK.

In the Iteration Data section, change the desired fields. You cannot change the Year and Iteration Number, since they identify the template.

Click OK to save the record.
Deleting a template

Select Personnel Budgeting > Entry & Processing > Iterations > Iteration Information to display the Iteration Information page.

In the Search Criteria section, enter criteria identifying the records to list, and then click Find.

In the List section, select the template to delete.

Click Delete.
Important
If a template contains position information, the following message displays on the Iteration Information page: Cannot delete, positions have been saved to this position iteration.

In the Confirmation dialog, click Yes.
Generating the Position Budget Iteration Table report

Select Personnel Budgeting > Entry & Processing > Iterations > Iteration Information to display the Iteration Information page.

In the Search Criteria section, enter criteria identifying the records to list, and then click Find.

Click Print.

In the Print window, specify how to generate the report, and then click OK. The report's default file name is pb_iters.rpt.
The section’s fields are used to search for and list selected templates. To list all templates, leave the fields blank.

Phrase or title describing a template. Depending on how your descriptions are structured, you can use the asterisk query symbol in your entry. For example, INC* displays all templates with descriptions that begin with these characters, such as INCREASE 3%, INCREASE 4%, and INCLUDES BENEFITS. |
List and Iteration Data Sections
These sections include the same fields, except Year and Notes, which only appear in the Iteration Data section.
Year
Year identifying the template in combination with the Iteration Number. The year is set in your Budget Preparation Profile and cannot be changed in Personnel Budgeting.
Iteration Number
Number identifying the template. Integer/4
To allow the system to insert a number, click Next Number on the Action Bar. For details, refer to the Action Bar Item section above.
Description
Phrase or title describing a template. As with the Iteration Number field, the Description field is required. Character/25
Usually, the description should indicate a distinguishing feature of the iteration, for example, 4% INCREASE or HEALTH CO‑PAY. However, if you are unsure of the parameters you intend to apply, use a generic title, for example, BUDGET or BLANK. If needed, you can change this once you begin to use a template.
Active
Checkbox indicating whether an iteration was the most recently saved version of a budget.

If the field is selected, the iteration is the active file for the current budget year, that is, the one that is currently loaded and in use.

If the field is blank, this indicates the iteration is not active.

Saved
Checkbox indicating whether an iteration has been saved since the last time it was loaded. Two flags are used in this field:

If the field is selected, the iteration has been saved. This is the default when a template is created.

If the field is blank, the iteration was loaded at some point but was not saved after the load, whether it was changed or not.

Notes
Scrolling section for documenting specifications, changes, and other information related to the budget. You do not need to press <Enter> at the end of each line, though you can if you wish.
