Use this page to create new batch files, add inventory count records to existing batches, and update information in count records.
Following are the procedures to add new batch files, add inventory count records to an existing batch, and update inventory count records.
All of these tasks can be performed using the Batch Inventory Transaction Detail page.
Menu Path
From the Warehouse Inventory menu, select Entry & Processing. From the Periodic Routines menu, select Batch Inventory Transactions.
Your access to the detail page depends on the action performed:

If you are creating a new batch file or adding a record to an existing batch, click Add New.

If you are updating an existing batch record, select the batch, click OK, search for and select the record, and then click OK.
Add Batch Files

On the Batch Inventory Transactions page, click Add New to display the Batch Inventory Transaction Detail page.

In the detail page, enter a Control Number to identify the batch.

Use the Warehouse and Stock Number fields to identify a stock item, and then enter the count, and complete the additional fields. Press <Tab> to advance from field to field.

If you are adding multiple count records, leave the Continuous checkbox selected.

If you are only adding one count record, clear the checkbox.

Repeat step 3 to add as many records to the batch as needed.
You can also change the Control Number at any point to start another batch or add records to a previous batch.

When you finish, click OK to return to the main Batch Inventory Transactions page.
Add Inventory Count Records to an Existing Batch
Following is one of two ways to add count records to existing batches. Another approach is provided in Inventory Transactions in Batch Page.

On the main Batch Inventory Transactions page, click Add New.

In the Control Number field, enter the number of the existing batch.

Use the Warehouse and Stock Number fields to identify a stock item, and then enter the count, and complete the additional fields. Press <Tab> to advance from field to field.

If you are adding more than one inventory count record, leave the Continuous checkbox selected.

If you are only adding one record to the batch, clear the checkbox and proceed to Step 6.

Repeat step 3 to add as many records as needed.
You can also change the Control Number at any point to start a new batch or add records to another batch. -
When you finish, click OK to return to the main Batch Inventory Transactions page.
Update Inventory Count Records

On the main Batch Inventory Transactions page, select the batch file that contains the records to update, and click OK to display the Inventory Transactions in Batch Page.

In the Selection Criteria section, enter criteria identifying the records to list, and then click Find.

In the List section, select the first inventory count record to update, and then click OK to display the Batch Inventory Transaction Detail page.

In the detail page, change the available fields as needed. Press <Tab> to advance from field to field.

If you are updating multiple records, leave the Continuous checkbox selected.

If you are only updating the selected record, clear the Continuous checkbox.

Click OK to save your changes.

If the Continuous checkbox is selected, the next record from the list displays. You may repeat steps 4 and 5, or click Back to end the process and return to the Inventory Transaction in Batch page. You also return to this page after updating and saving the last record in the list.

If you cleared the Continuous checkbox, you return to the Inventory Transaction in Batch page immediately.

Control Number |
Code identifying to batch file. The limit is eight characters. You can enter this number to add a new batch file or update an existing file. However, the field is display only if you accessed the detail page from the Inventory Transaction in Batch page. In entering control numbers, use a consistent pattern to facilitate sorting in lists and reports. If you use numbers, remember they will be treated as characters, so a consistent length would be helpful as well, since 2000 will sort ahead of 310 but not 0310. |

Warehouse |
Code identifying the warehouse location for the stock item you are recording. This field is verified against the Warehouse Code table. |

Stock Number |
Code identifying the stock item being inventoried, as stored in the Inventory Catalog for the warehouse you identified. The combination of Warehouse code and Stock Number must exist in the Inventory Catalog when referencing stock items. |

Inventory Date |
Date of either the inventory count or the most recent adjustment, depending on the circumstance. However, your record-keeping procedures may require entering another date. |

Inventory Count |
Number of units counted. Decimal/12,4 Be sure to enter the quantity in terms of the stock item's unit of measure. For example, if you issue items by the dozen, a count of 24 units should be entered as 2. |

Adjustment Organization |
Low-level Organization Chart code for the Expenditure Ledger account charged if a cost adjustment is made. The default value comes from the Warehouse Code table. Warehouse costs are adjusted if a batch record posts with an inventory count different from the stock item’s on-hand quantity in the Inventory Catalog. Following is the formula used to determine an adjustment: [Units Counted ‑ (Reserved Units + Available Units)]x Unit Cost = Adjusted Amount |
