Viewing Inventory Transactions

Use the Inventory Transactions page to view transactions for selected catalog items. In this page, you can search for an item's transactions, and then display full details for a selected transaction.

You can view details on any inventory-related transaction for the catalog item, including inventory adjustments, purchase orders, back orders, item requests, receipt of stock, and service orders generated through Equipment Manager.

Menu Path:  Warehouse Inventory > Entry & Processing > Warehouse Inventory > Warehouse Administration > click Update Inventory Catalog > search for and select a catalog item > click Inventory Transactions on the Action Bar

You can also access the Inventory Transactions page directly from the main Warehouse Inventory menu by selecting Warehouse Inventory > Entry & Processing > Detailed Displays > Inventory Transactions

Viewing inventory transactions for a selected catalog item

  1. Select Warehouse Inventory > Entry & Processing > Warehouse Inventory > Warehouse Administration to display the Warehouse Administration page.

  2. Click Update Inventory Catalog to display the Update Inventory Catalog page.

  3. In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button. For details on advanced searches, refer to Inventory Transactions Page.

  4. In the List section, select a catalog record.

  5. Click Inventory Transactions on the Action Bar to display the Inventory Transactions page.

  6. In the Search Criteria section, enter criteria identifying the transactions to list, and then click Find. To run an advanced search, use the Advanced button.

  7. In the List section, select a transaction, and then click OK to display the Detail Inventory Transaction page.
    You also can generate the Inventory Transaction Short Listing report which will include the information displayed in the List section. To generate the report, click Print.

  8. After reviewing the transaction information, click Back.

  9. To view another transaction, repeat Steps 7-8.
    or
    To generate another list and view another transaction, repeat Steps 6-8.

  10. To return to the Inventory Catalog page, click Back in the Inventory Transactions page.

Fields

Following are descriptions of the data referenced by the fields in the Inventory Transactions page's Search Criteria section:

Fieid

Description

Warehouse

Code identifying the warehouse location where the item is stored. The warehouse code and stock number combine to identify a catalog record.

Stock Number

Code identifying the item in the Stock Number table for this catalog record.

Ship Code

Code for the location where a purchased or requested stock item was shipped.

Request

Number identifying a request for warehouse items.

Line Item

Line item number from a warehouse request.

Vendor

Code from Fund Accounting's Vendor List identifying an individual or business that supplies stock items.

Type

Systemgenerated codes identifying the type of transaction.

A - Adjust available

G - Back order filled

B - Back order

H - Beginning balance

C - On order

P - Post received stock

D - Adjust requested

R - Returned to stock

E -Warehouse Transfer

S - Vehicle manager service order

F - Request filled

Q - Request

  • Types A, D and E are generated by the Enter Inventory Adjustments option.

  • Types B and Q are generated through the Requests option. Type B can also be generated through the Enter Inventory Adjustments option.

  • Type C is generated through the Purchasing System and by the Enter Inventory Adjustments option.

  • Types F and G are generated through the Fill Requests option.

  • Type H is generated based on your use of Warehouse Inventory's Year End Procedures option.

  • Type P is generated through the Receive Stock option.

  • Type R is generated through the Return to Stock option.

  • Type S is generated based on service orders in the Equipment Manager System.

Date

Date of the transaction, either userdefined or systemgenerated, depending on the transaction type.

Requestor

Name of the employee associated with the transaction. This corresponds to fields such as Received By and Adjusted By, depending on the option where the transaction was generated. This is not the same as the Operator ID, which is systemgenerated.

Remarks

Comments entered by the employee regarding the transaction or systemgenerated message identifying the option used to process the transaction.

Fiscal Year

Fiscal year when the transaction was generated.

*Budget Unit*

Low-level Organization Chart code for the ledger account where the transaction was charged. The field name is defined in the Fund Accounting Profile.

Account

Account code for the ledger account where the transaction was charged.

Project

Project code for the Project Ledger account where the transaction was charged.

Account

Account code for the Project Ledger account where the transaction was charged.

Purchase Order

Number identifying the purchase order associated with the transaction, if any.

Purchase Line Item

Number identifying a specific line item from the purchase order.

Fill ID

Systemgenerated number identifying a transaction for filling a request or back order.

Operator

Login ID of the operator who processed the transaction. The system adds IDs to transaction records for auditing and general information purposes.
