Receipt Adjustments

Menu Path:  Billing & Receipts > Cash Receipts > Online > Receipt Adjustments

Use the Receipt Adjustments page to adjust the following receipt types, provided the receipt has not been interfaced:

  • Fund Accounting

  • Miscellaneous Billing

  • Utility Billing

  • Parks and Recreation

  • Citations

For receipts that have not been interfaced yet, you can change the register date, revenue code, description, customer ID, amount, and payment information. You can also "zero out" a line item. You must know the receipt number before you use the adjustment option.

Void payments "zero out", but the Cash Receipts system still records them.

Change Receipts

  1. Select the Receipt Adjustments page.

  2. Enter information as needed, and click OK to display the Receipt Adjustments page.

  3. Enter information and click OK to display the Cash Receipts Adjustments page.

  4. Change the receipts fields as needed, and click OK.

Void Receipts

  1. Select the Receipt Adjustments page.

  2. Enter information as needed and click OK to display the Receipt Adjustments page.

  3. Enter information as needed and click OK to display the Cash Receipts Adjustments page.

  4. In the Line Items section, change the Amount field to zero for each item.

  5. In the Payment Information section, change the Payment Type fields to zero.

  6. Click OK.

Register Access Page Fields

Field

Description

Transaction Date

System date for the transaction. This date can be changed. For details, refer to Receipt Transaction Date.

Register

Enter the register number.

Receipt Number

Reference number of the receipt to be changed.

Register Date

Date as listed on the receipt.

Cash Receipt Adjustments Page Fields

Receipt Information Section

Field

Description

Batch Number

Identification number of the batch containing the receipt. Display-only.

Receipt Number

Reference number of the receipt. Display-only.

Register Information Section

Field

Register

Number identifying the register that the receipt was printed from. Display-only.

Register Date

Date that the register was used. Display-only.

Scan Line

Identification of the bill as scanned on the barcode. Display-only.

List Section (Unlabeled)

Field

Description

Line Number (Unlabeled)

Number identifying the line placement of the receipt.

Code

Revenue code for the receipt. Use Lookup to look up a valid revenue code.

Description

Description of the revenue code.

Customer ID

Identification number of the customer.

Amount

Total amount of the receipt.

Payment Information Section (Unlabeled)

Field

Description

Payment Type

Select the form of the payment:

  • Batch

  • Cash

  • Check

  • Credit Card

  • Other

Amount

Total amount paid.

Reference

Reference number of the payment, such as a check number.

Authorized?

Indication of payment authorization. This only refers to credit card payment types.

Total Amount

Displays the total amount of all the receipts. Display-only.

Number Items

The total number of line items as displayed in the List section. Display-only.

Total Paid

Amount of payment that has been received. Display-only.

Change Due

Amount due to the payer if the total amount received was greater than the amount due. Display-only.

Payor

Name of the individual or group that made the payment.

Copies

Number of copies of the receipt to be printed.
