Use the Approval Groups table to:

Search for approval groups by ID, name, workflow type, or task.

Add, update, and delete approval groups.
-
Define the approvers for the approval group.
-
Link approval groups to employee and posting groups.
-
Print the Approval Groups Table report.
Menu Path
From the System Administration menu, select Workflow (Legacy). From the Human Resources Workflow Tables menu, select Approval Groups.
Tabs
The Approval Groups page includes the following tabs:

Details |
Enables you to identify the approval group and assign a Workflow Type and Workflow Task to the group. |
|
Approvers |
Enables you to add or delete employees from the approval group. |
|
Rule Groups or Employee Groups |
Enables you to add employee groups or posting groups to the approval group.
|
Action Bar
The following items display on the Action Bar when you are adding or updating information in the Approvers, Employee Groups, and Posting Groups tabs. They are not available in the Details tab.

Insert Row |
Displays a blank row above the current row for adding another entry. Use this item to add groups or employees to a tab. |
|
Delete Row |
Removes the current row. Use this item to delete groups or employees from a tab. |
Add Approval Groups

Open the Approval Groups page.

Click Add New to access the Details tab. The Approval Group ID field displays the word AUTO and cannot be accessed. When a group is saved, the system assigns an ID number to this field that is the key to identifying the group.

In the Approval Group Name field, enter the group title.

In the Workflow Type field, select the type of workflow associated with the approval group.

In the Workflow Task field, select the task associated with the approval group.

On the Approvers tab, enter the employee numbers of the users who will be the approvers for the group.

The Level field, which is display-only, represents the approval level. Level 1 is the highest level of approval. When a workflow is initiated, the notification will be sent to the lowest level of approval first. Once the user approves the e-Form, the notification is sent to the next level of approval. The final approval, Level 1, ends the workflow.

On the Employee Groups or Posting Groups tab, enter the employee or posting groups associated with the approval group.

The title of this tab depends on the Workflow Type of the groups being entered.

Click Accept.
Update Approval Groups

Open the Approval Groups page.
-
In the Search Criteria section, enter criteria identifying the groups to list, and then click Search.

In the List section, select a group, and click Accept to access the detail of the record.

Enter your changes in the Details, Approvers, and Employee Groups or Posting Groups tabs.

Click Accept.
Delete Approval Groups

Open the Approval Groups page.

In the Search Criteria section, enter criteria identifying the groups to list, and then click Search.

In the List section, select the group to delete.
-
Click Delete.

In the Confirmation dialog, click Yes.
Generate the Approval Groups Table Report

Open the Approval Groups page.
-
In the Search Criteria section, enter criteria identifying the groups to include in the report, and then click Search.

Click Print.
-
In the Print window, specify how to generate the report, and then click OK. The report's default file name is appgrprpt.rpt.

Approvers Tab
Use this tab to add or delete employees from the approval group. Use the Action Bar's Delete Row item to remove an employee from the tab's listing.
