The following outline indicates how workflows in the Workflow System are initiated and how approvals are issued in PowerSchool ERP software. Budget Adjustment Workflow
Initiated through Fund Accounting > Entry & Processing > Budget Ledgers > Batch Budget Adjustments and approved through Fund Accounting > Entry & Processing > Budget Ledgers > Approve/Deny Budget Transfer.
The requesters and approvers must be employees of your organization who are PowerSchool ERP users with security for these options. Approvers must be approvers or alternate approvers on the Budget Transfer/Adjustment tab of the Approval or Account Approval table.
Budget Transfer Workflow
Initiated through Fund Accounting > Entry & Processing > Budget Ledgers > Batch Budget Transfer and approved through Fund Accounting > Entry & Processing > Budget Ledgers > Approve/Deny Budget Transfer.

Accounts Payable Workflow
Initiated through Fund Accounting > Entry & Processing > Payable Entry > Post Accounts Payable, Batch Accounts Payable or Standard Payables and approved through Fund Accounting > Entry & Processing > Payable Entry > Approve/Deny Payables.

Requisitions Workflow
Initiated through Purchasing > Entry & Processing > Requisition Processing > Requisitions or Next Year's Requisitions and approved through Purchasing > Entry & Processing > Requisition Processing > Approve/Deny Requisitions.
The requesters and approvers must be employees of your organization who are PowerSchool ERP users with security for these options. Approvers must be approvers or alternate approvers on the Requisition tab of the Approval or Account Approval table.
Purchase Orders Workflow
Initiated through Purchasing > Entry & Processing > Purchase Order Processing > Purchase Orders or Next Year Purchase Orders and approved through Purchasing > Entry & Processing > Purchase Order Processing > Approve/Deny Purchase Orders.
The requesters and approvers must be employees of your organization who are PowerSchool ERP users with security for these options. Approvers must be approvers or alternate approvers on the Purchase Order tab of the Approval or Account Approval table.
Change Orders Workflow
Initiated through Purchasing > Entry & Processing > Change Order Processing > Change Orders and approved through Purchasing > Entry & Processing > Change Order Processing > Approve/Deny Change Orders.
The requesters and approvers must be employees of your organization who are PowerSchool ERP users with security for these options. Approvers must be approvers or alternate approvers on the Change Order tab of the Approval or Account Approval table.
Vendor Workflow
Initiated through the Registration link on the Vendor Access Center's Home Page and approved through Vendor Access Center Approvals.
The requester can be an outside vendor registering with your organization. Approvers must employees of your organization who are PowerSchool ERP users with security for accessing the Approval table.
Invoices Workflow
Initiated when a vendor submits an invoice in Vendor Access Center and approved through Fund Accounting > Entry & Processing > Payable Entry > Post Accounts Payable > Vendor Access Invoices or Fund Accounting > Entry & Processing > Payable Entry > Batch Accounts Payable > Vendor Access Invoices.
The requester can be an outside vendor. The approver must be an employee of your organization who is an PowerSchool ERP user and has security to access and approve invoices.
Employee Leave Request Workflow
Initiated through e-Forms & Tools > e-Forms > Employee Leave Request (Legacy) or Employee Access Center > Leave [Information > Leave Requests and approved through the URL in the email notification or by accessing the notification sent to the Activities panel of the PowerSchool ERP home page.
The requesters and approvers must be employees of your organization. They only need to be users of PowerSchool ERP to initiate the workflow from the e-Forms folder or to access the notification from the Activities panel.
Applicant Recommendation Workflow
Initiated through e-Forms & Tools > e-Forms > Applicant Recommendation or Job Applicant Viewer > Search Applications > click on the Applicant ID link for the applicant to recommend > Recommend Applicant. This workflow can also be accessed through Human Resources > Entry & Processing > Recruitment > Applicant Overview > search for an applicant and on Applicant Detail page, in the Application section, click the Applicant Recommendation link. Approvers can use the URL in the email notification or access the notification through the Activities panel of the PowerSchool ERP home page.
The requesters and approvers must be employees of your organization.
Employee New Hire Notification Workflow
Initiated through Human Resources > Entry & Processing > Employee > Employee Information when a new employee is added to your database.
The requesters must be employees of your organization who are users of PowerSchool ERP with security for this option. Those receiving the notifications must be employees of your organization and must be PowerSchool ERP users only if they need to access the notification from the Activities panel.
Employee Termination Workflow
Initiated through either e-Forms & Tools > e-Forms > Employee Termination or Human Resources > Entry & Processing > Employee > Employee Information > search for and select an employee > click OK to display the Employee Information detail page > click Actions on the Action Bar, and then select Terminate. Approvers can use the URL in the email notification or the activity in the Activities panel of the PowerSchool ERP home page.

User Workflow
Initiated when a user registers for Professional Development with your organization on the Create a New Professional Development Account page, and clicks Submit. It is approved through Human Resources > Reference Tables > Professional Development > Participants/Instructors.
The approvers must be employees of your organization who are users of PowerSchool ERP software with security for this option. The requesters can be either employees of your organization or external participants/instructors who have been given access to the Professional Development registration page.
Course Workflow
Initiated when a user submits a new course through Professional Development and approved through Human Resources > Entry & Processing > Professional Development > Courses.
The approvers must be employees of your organization. The requesters can be either employees or external users who have been approved as instructors in Professional Development.
Course Registration Workflow
Initiated when a user registers for a course on the Course Information page in Professional Development.
The user can be an employee of your organization or an external participant who is approved for Professional Development.
Posting Workflow
Initiated through Human Resources > Entry & Processing > Recruitment > Posting Requisition Overview or Human Resources > Entry & Processing > Recruitment > Posting Overview.
