Interface with Attendance or Employee Timesheets

Employee Leave Requests can be configured to interface with Attendance or Employee Timesheets once the final approval is complete.

To configure this interface:

  • The Interface Leave Request? field on the Leave Request Forms tab of the Workflow Configuration Profile must be selected.

  • In the Leave Table in Human Resources, pay codes that are used in Attendance and Employee Timesheets must be linked to leave codes. The Leave Table provides a report to review the pay codes that have been linked to leave codes. 

From the Human Resources menu, select Reference Tables. From the Payroll menu, select Leave Codes.

Action Bar Items

The following item displays on the Action Bar in the Leave Table page after you generate a list of leave codes:

Print Pay Codes

Generates a report on the selected Pay Codes.

The following items display on the Linked Pay Codes page's Action Bar:

Insert Row

Inserts a blank row above the current row for entering another Pay Code.

Delete Row

Deletes the selected Pay Code row.

  1. Open the Leave Table page.

  2. In the Search Criteria section, enter selection criteria, and then click Search.

  3. In the List section, select the leave code to link pay codes to, and then click OK.

  4. In the Leave Data section, click the Pay Codes button.

  5. In the Related Pay Codes section, select the pay codes to link to the leave code. After you enter a pay code, click Insert Row to display a blank row above the current row. Enter another pay code, and repeat this for each additional pay code.

  6. Click OK.

Generate the Pay Codes Associated with Leave report

  1. Open the Leave Table page.

  2. In the Search Criteria section, enter selection criteria, and then click Search.

  3. From the action bar, click Print Pay Codes.

  4. In the Print window, specify how to generate the report, and then click OK. The default file name is lvpays.rpt.

Leave Table Page

Field

Description

Leave Code

Code identifying the type of leave.

Leave Title

Title of the leave.

Leave Unit

Base unit of time for the leave code.

Select:

  • D - Days

  • H - Hours

  • U - Units

Check Title

Abbreviated description of the leave to print on the paycheck stub.

Accrual Type

Determines the method for accruing leave.

Select:

  • A - Anniversary

  • B - Pay Period Amount

  • P - Pay Period Rate

  • M - Monthly

  • F - Fiscal

Accrual Rate

Amount or percentage to use to determine the leave time accrued in an employee Leave Bank tab.

Accrual Control

Determines how accrual amounts are updated in an employee's Leave Bank tab.

Select:

  • N - None

  • P - Timecard Hours

  • F - Default Hours

Maximum Balance

Maximum leave balance an employee may carry for this leave code.

Years of Service

Minimum number of years of service the employee needs to qualify for a leave award.

Excess Leave Usage Method

Determines what happens when an employee's Taken YTD amount exceeds the Balance for this leave code.

Select:

  • N - Allow Negative Balance

  • L - Charge as LWOP

  • C - Charge Next Level

Rollover Limit

Maximum balance of unused leave time that can be rolled over at the end of a contract or calendar year.

Rollover Code

Code designating the leave bank to use for rolling over leave amounts. Leave banks are identified by the first character of a leave code.

Maximum Earned

Maximum amount of leave that can be earned in a year.

Unused Payment Method

Method for calculating the payment due when an employee has not used all of the paid leave available.

Select:

  • P - Current Pay Rate

  • F - Fixed Amount

  • N - No Payment

Unused Pay

Dollar amount to be paid per eligible leave unit for unused leave when the unused payment method is Fixed Amount. For other methods, leave the field at its zero default.

Print Flag

Checkbox indicating whether information from the leave code will print on employee paycheck stubs.
