Global Settings Tab


Use the Global Settings tab on the Workflow Configuration Profile to define the following:

  • The email, web, and application servers that will be used for workflow.

  • The specific workflows your organization will be using.

  • The workflow administrator email address that will appear in the From field of email notifications.

  • Whether users will be allowed to self-register.

  • Whether your organization will be using an email scheduler on the SQL server or will be sending consolidated email notifications for Fund Accounting and Purchasing workflows by setting up scheduling in the Email Task Scheduler Settings Tab.

Action Buttons

The following action buttons display on the tab:

Apply

Saves your settings.

Undo

Resets any changes you made prior to the last time you clicked Apply.

Complete the Workflow Configuration's Global Settings tab

  1. Select System Administration > All > Profiles > Workflow Configuration Profile to display the Workflow Configuration page.
    The Global Settings tab displays by default.

  2. Complete the tab's fields. For descriptions, refer below.

  3. Click Apply to save your settings.

Fields

Following are the descriptions of the fields in the Global Settings tab:

Field

Description

Company Name

Your organization's name.

Email Server

The IP Address or Host Name of your email server.

Workflow Admin Email Address

The email address that will display in the From field for all workflow email notifications. This does not have to be a valid email address.

Web Server

The base URL of the workflow web server. This field is used in conjunction with the Base URL fields on the Forms tabs of all Human Resources Workflows to create a full URL. This full URL is what will appear in the email notifications when the variable _URL is entered in the email body. It is also used when accessing Human Resources workflow notifications on the Activities panel of the PowerSchool ERP home page.

Application Server

The base URL of the application server. This field is used in conjunction with the Base URL/Full URL fields on the Forms tabs of all Fund Accounting and Purchasing Workflows to create a full URL. This full URL is what will appear in email notifications when the variable _URL is entered in the email body. It is also used when accessing Fund Accounting and Purchasing workflow notifications on the Activities panel of the PowerSchool ERP home page.

Recruitment Internal Server

The base URL of the web server used for internal users to access the Recruitment Portal.

Recruitment External Web Server

The base URL of the web server used for external users to access the Recruitment Portal.

For customers using Integration, this field is disabled.

Recruitment Login Page URL

The URL for the Recruitment Login page for external users to create an account and log in.

For customers using Integration, this field is disabled.

Allow Self-Registration?

Checkbox which allows users to link their Windows Login name and email address to their employee record in Human Resources.

  • If this field is selected, a Registration page will appear for a user the first time they try to access a workflow URL when there is no email address in the Email field of the employee's Employment tab in Employee Information.

  • If this field is blank, the message "The user ID is not mapped to your employee record. Contact your system administrator." will display when there is no email address in the Email field of the employee's Employment tab in Employee Information and the user will not be allowed to proceed.

Employee Leave Request Type?

Selection to determine how your organization will be using the Employee Leave Request Workflow.

Select:

  • Leave Request

  • Legacy Leave Request

  • Not Using

When Leave Request is selected, the Employee Leave Request Workflow Configuration Profile option will only have two tabs, Leave Request Forms and Cancel Leave Email Configuration. Only active fields are used on those two tabs. All inactive fields, in addition to the Leave Request Email tab, are only available when Legacy Leave Request is selected.

Applicant Recommendation?

Checkbox indicating whether your organization will be using the Applicant Recommendation Workflow. Select the box if you will be using this workflow.

Employee New Hire Notification?

Checkbox indicating whether your organization will be using the Employee New Hire Notification Workflow. Select the box if you will be using this workflow.

Employee Termination?

Checkbox indicating whether your organization will be using the Employee Termination Workflow. Select the box if you will be using this workflow.

Budget Adjustments?

Checkbox indicating whether your organization will be using the Budget Adjustments Workflow. Select the box if you will be using this workflow.

Budget Transfers?

Checkbox indicating whether your organization will be using the Budget Transfers Workflow. Select the box if you will be using this workflow.

Accounts Payable?

Checkbox indicating whether your organization will be using the Accounts Payable Workflow. Select the box if you will be using this workflow.

Requisitions?

Checkbox indicating whether your organization will be using the Requisitions Workflow. Select the box if you will be using this workflow.

Purchase Orders?

Checkbox indicating whether your organization will be using the Purchase Orders Workflow. Select the box if you will be using this workflow.

Change Orders?

Checkbox indicating whether your organization will be using the Change Orders Workflow. Select the box if you will be using this workflow.

Professional Development Users?

Checkbox indicating whether your organization will be using the Users Workflow. Select the box if you will be using this workflow.

Professional Development Courses?

Checkbox indicating whether your organization will be using the Course Workflow. Select the box if you will be using this workflow.

Professional Development Course Registration?

Checkbox indicating whether your organization will be using the Course Registration Workflow. Select the box if you will be using this workflow.

Custom Email Task Scheduler?

Checkbox indicating whether your organization will be using an email scheduler on the SQL Server to consolidate Fund Accounting and Purchasing workflow notifications or will be using the Workflow Configuration Profile's Email Task Scheduler Settings. Select the box if you will be using an email scheduler on the SQL Server. Leave the box blank if you will be using the Workflow Configuration Profile's Email Task Scheduler Settings.
