Employee New Hire Notification e-Form

The Employee New Hire Notification e-Form is initiated when you add a new employee and their pending status has been removed.

Types of e-Forms for Employee New Hire Notification Workflow

There are two Employee New Hire Notification Workflow e-Forms that may be seen during the workflow process. What displays on the New Hire Notification e-Form is dependent on your organization's configuration, if you are using user-defined page 30300, and if you are notifying other employees of the new hire.

Employee New Hire Updater e-Form

The e-Form seen by the person who updates the user-defined page 30300 when they click the URL link in the email or the activity on the Activities panel of the PowerSchool ERP home page. This e-Form also shows the Notifications section, listing who should receive the Finished Notification workflow.

Employee NewHire Notification Read-Only e-Form

The e-Form seen by the user who initiated the employee new hire e-Form or the users that receive the new hire notification that the employee has been added. This e-Form shows the same information as the Updater e-Form, but does not contain the Notification section, which lists who should receive the Finished Notification workflow.

Action Button

The following action button displays in the Employee New Hire e-Form:

Update

Used by the person who needs to provide updates to the user-defined page 30300 to submit the updates.

Fields

Following are the field descriptions for the New Hire Notification e-Form. The sections and fields are dependent on your organization's configuration, if you are using user-defined page 30300, and if you are notifying other employees of the new hire.

New Hire Information Section

This section is display only. The information shown defaults from the General section, Employment tab, and Personnel tab of the employee's Employee Information detail page.

Field

Description

Employee Number

Employee's identification number. Displays above the New Hire Information section.

Name

Employee's first name, middle name, last name and suffix, such as JR or SR. Displays above the New Hire Information section.

Hire Date

Start date of employment.

User Login

Login name if the employee is a user in the system. This field is used for workflow and does not grant the employee system access.

Email

Employee's Internet or Intranet address. This address is used for sending direct deposit vouchers and workflow notifications to the employee.

Employee Type

Code identifying the employee's general employment category.

Status

Code identifying the status of the employee.

Part/Full Time

Indicates if the employee works full time or part time.

Class

Employee's job class from their primary pay rate.

Position

Employee's position associated with the job class on their primary pay rate. This field only appears if you use Position Control and the job class on their primary pay rate is associated with a position.

Department

Employee's assigned department.

Base Location

Employee's primary work location.

*New Hire Items That Must Be Completed* Section

This section is the user-defined page 30300. The section title and field descriptions are depending on how you create user-defined page 30300.

Updaters Section

This section, in addition to the fields you defined in the user-defined page 30300, must be completed in order to finish the new hire updates and send the new hire finished notifications. This section is only accessible to users defined on the approval group or users that the updater delegated the update new hire task to. For all others accessing this e-Form, this section is display-only.

Field

Description

Date

The date that the In Progress or Completed action was taken by an updater or delegate. This date is system-generated when the updater or the delegate selects In Progress or Completed in the Action/Comments column and clicks Update.

Action/Comments

The action performed by the updater or delegate and additional comments about that action. The choices for the action are:

Not Started

No action has been taken on the update at this time by the updater or delegate.

Completed

The employee new hire update has been completed by the updater or delegate for this approval level. When selected and the updater or delegate clicks Update, the workflow will do one of the following based on the status of the e-Form:

  • If there are additional updates from other users that need to be performed, no other notifications will be sent.

  • If there are no additional updates that need to be performed from other users, the workflow will complete the new hire update process, send the Finished type workflow notification to the requester that the employee new hire updates are complete and, if applicable, send the Finished Notification type workflow notification to the users defined in the approval group setup for workflow task 112-New Hire Saved Notification.

In Progress

The employee new hire update has been started by the updater or delegate for this approval level, but not completed.

Name

Name of the user who is defined on the approval group to be an updater. Display only.

Approved By

Specifies who completed the action. The value in this field is system-generated when the approver or delegate clicks Update. The value will either be Updater or Delegate. Display only.

Delegate

The name of the user defined to be the delegate for this workflow task during the updater's absence. Display only.

Notifications Section

This section is display-only. It displays the user information defined in the approval group setup for workflow task 112-New Hire Saved Notification or defined as the delegate for this workflow task.

Field

Description

Name

The name of the user who will receive the Finished Notification type workflow notification based on the approval group setup for workflow task 112-New Hire Saved Notification when the final updates are complete. If a user defined on this group has delegated this workflow task, the delegate's name will display with (Delegate) after the name.

Task

The approval group task, 112-New Hire Saved Notification.

Email Address

The email address associated with the user in the Name field that will receive the Finished Notification type workflow notification based on the approval group setup for task 112-New Hire Saved Notification when the final updates are complete.
