HRM Workflow Log Maintenance

Use the HRM Workflow Log Maintenance option to review the state of Employee Leave Request, Employee Termination, Employee New Hire Notification, and Applicant Recommendation workflows. In additional, you can review Professional Development, Recruitment, and Notifications workflows. You can cancel notifications for these workflows as well as delete entries from the workflow log table. For Employee Leave Requests, you can also flag a request as needing correction, so the employee can resubmit the request without having to re-enter the information.

Action Bar Items

The following Action Bar Items display on the HRM Workflow Log Maintenance page:

Cancel Workflow

Enables you to cancel workflow notifications that are still being sent due to errors or to cancel workflows that are currently in progress.

When you cancel a Completed workflow, only the notifications being sent as email or activities are stopped. The state of the entry will not change, nor will approvers or requesters receive notification that the workflow was canceled.

When you cancel an In Progress workflow, the notifications being sent as email or activities are stopped, the state of the entry will be changed to Canceled, and the approvers and requesters will receive notification that the workflow was canceled. This action item displays for all Workflow Types when you select Completed or In Progress as the Action Type.

Needs Correction

Enables you to flag a workflow as needing correction. With this action, the current notifications being sent as email or activities are stopped, the state of the entry will be changed to Needs Correction, and the approvers and requester will receive notification that the workflow is in need of correction. This action item displays for Employee Leave Request Workflow Type entries when you select In Progress as the Action Type.

Finish Workflow

Enables you to flag a workflow as completed. This action item displays only for workflow entries with a Workflow Type of Employee New Hire Notification and an Action Type of In Progress.

Following are the procedures for listing, deleting, and canceling workflow entries in the HRM Workflow Log Maintenance page. A procedure is also included for flagging an Employee Leave Request workflow that is in progress as needing correction.

Display a List of Workflow Entries

  1. Select System Administration > Workflow (Legacy) > Workflow Maintenance > HRM Workflow Log Maintenance to display the HRM Workflow Log Maintenance page.

  2. In the Search Criteria section, enter criteria identifying the workflow entries to list.

  3. Click Find. Entries that match your criteria will display in the List section.

Delete Workflow Entries

To display the Delete item, you must select Completed or Never Started as the Action Type in Step 2.

  1. Select System Administration > Workflow (Legacy) > Workflow Maintenance > HRM Workflow Log Maintenance to display the HRM Workflow Log Maintenance page.

  2. In the Search Criteria section, enter criteria identifying the workflow entries to list, and then click Find.

  3. In the List section, select the entry or entries you want to delete.

    • To select a series of consecutive entries, click the first entry, hold down the Shift key, and click the last entry.

    • To select entries individually, hold down the Ctrl key, and click each line to delete.

  4. Click Delete.

  5. In the Delete Confirmation dialog, click Yes to delete the entry.

Cancel Workflow Entries

To display Cancel Workflow on the Action Bar, you must select Completed or Never Started as the Action Type in Step 2.

  1. Select System Administration > Workflow (Legacy) > Workflow Maintenance > HRM Workflow Log Maintenance to display the HRM Workflow Log Maintenance page.

  2. In the Search Criteria section, enter criteria identifying the workflow entries to list, and then click Find.

  3. In the List section, select the entry or entries you want to cancel.

    • To select a series of consecutive entries, click the first entry, hold down the Shift key, and click the last entry.

    • To select entries individually, hold down the Ctrl key, and click each line to cancel.

  4. Click Cancel Workflow on the Action Bar.

  5. In the Cancel Confirmation dialog, click Yes to cancel the workflow entry.

Flag Workflow Entries as Needing Correction

To display Needs Correction on the Action Bar, you must select In Progress as the Action Type in Step 2.

  1. Select System Administration > Workflow (Legacy) > Workflow Maintenance > HRM Workflow Log Maintenance to display the HRM Workflow Log Maintenance page.

  2. In the Search Criteria section, enter criteria identifying the workflow entries to list, and then click Find.

  3. In the List section, select the entry or entries you want to cancel.

    • To select a series of consecutive entries, click the first entry, hold down the Shift key, and click the last entry.

    • To select entries individually, hold down the Ctrl key, and click each line to flag.

  4. Click Needs Correction on the Action Bar.

  5. In the Needs Correction Confirmation dialog, click Yes to stop the current notifications from being sent to email or the Activities panel, change the state of the entry or entries to Needs Correction, and send notifications to the approvers and requester that the workflow is in need of correction.

Flag Workflow Entries as Finished

To display Finish Workflow on the Action Bar, you must select In Progress as the Action Type in Step 2.

  1. Select System Administration > Workflow (Legacy) > Workflow Maintenance > HRM Workflow Log Maintenance to display the HRM Workflow Log Maintenance page.

  2. In the Search Criteria section, enter criteria identifying the workflow entries to list, and then click Find.

  3. In the List section, select the entry or entries you want to cancel.

    • To select a series of consecutive entries, click the first entry, hold down the Shift key, and click the last entry.

    • To select entries individually, hold down the Ctrl key, and click each line to flag.

  4. Click Finish Workflow on the Action Bar.

  5. In the Finished Confirmation dialog, click Yes to flag the entries as completed.

Fields

Field

Description

Row ID

System-generated identification number for the entry.

Date/Time Stamp

The date/time the entry was logged in the workflow log table.

GUID

Global unique identifier generated by the workflow engine that identifies a single workflow request.

Workflow Event

Description of the workflow event.

Select:

  • Approve - The workflow log entry was approved by the requester on the e-Form.

  • Cancel - The workflow log entry was canceled by the requester on the e-Form.

  • Cancel Approved - The workflow log entry was canceled by the requester on the e-Form. This event is only for the Employee Leave Request workflow and displays when the request was fully approved and the Interface Leave Request? field on the Leave Request Forms tab of the Workflow Configuration is blank.

  • Cancel Posted - The workflow log entry was canceled by the requester on the e-Form. This event is only for the Employee Leave Request workflow and displays when the request was fully approved and the Interface Leave Request? field on the Leave Request Forms tab of the Workflow Configuration is selected.

  • Deny - The workflow log entry was denied by the approver on the e-Form.

  • End - The workflow log entry that was created when the initial request is submitted and the Approval Required? field on the Forms tab of the workflow configuration is selected, but the employee or applicant isn't included in any employee groups of the approval group setup.

  • Error Cancel - The workflow log entry was canceled using the Cancel Workflow action item in the HRM Workflow Log Maintenance page.

  • Fail - The workflow log entry was flagged as Fail by the user who is processing background/reference checks or verifications on the e-Form. This event is only for the Applicant Recommendation workflow and displays when the Fail Pre-screening? field on the Applicant Recommendation Forms tab of the Workflow Configuration is set to End the Workflow Process.

  • Finish - The workflow log entry was finished by all updaters on the e-Form. This event is only for the Employee New Hire Notifications workflow.

  • Needs Correction - The workflow log entry was flagged as needing correction on the e-Form. This event is only for the Employee Leave Request workflow.

  • New - The workflow log entry that is created when a workflow is initiated.

  • Pass - The workflow log entry was flagged as Pass by the user processing background/reference checks or verifications on the e-Form. This is only for the Applicant Recommendation workflow.

  • Post - The workflow log entry was fully approved by all levels of approval and interfaced.

  • Update - The workflow log entry was updated by the updater on the e-Form. This event is only for the Employee New Hire Notifications workflow.

  • Verify Cancel - The workflow log entry was canceled by the requester on the e-Form while processing background/reference checks or verifications. This event is only for the Applicant Recommendation workflow.

  • Verify End - The workflow log entry that was created when the initial request is submitted and the Pre-screening Required? field on the Applicant Recommendation Forms tab of the workflow configuration is selected, but the applicant isn't included in any employee groups of the approval group setup. This event is only for the Applicant Recommendation workflow.

Parameters

The key data fields from the e-Forms being passed to the workflow event.

Error Message

System-generated error messages associated with the entry.

Workflow Type

The specific Human Resources Workflow type. This field is required to list the entries from the workflow log table and works in conjunction with the Action Type field to determine whether you have the ability to delete, cancel, or flag as needing correction workflow for the entries.

Select:

  • ELR - Employee Leave Request

  • ET - Employee Termination

  • NH - Employee New Hire Notification

  • NHA - Applicant Recommendation

If your organization uses Professional Development, you will also have the following selection:

  • PDC - Professional Development

  • PDU - Professional Development Users

If your organization uses Recruitment, you will also have the following selections:

  • RMP - Postings

  • RMQ - Posting Requisitions

If your organization uses Notifications, you will also have the following selection:

  • NOT - Notifications

Action Type

The type of event action to search for. This field is required to list the entries from the workflow log table and is used in conjunction with the Workflow Types field to determine whether you have the ability to delete, cancel, or flag as needing correction workflow for the entries.

Select:

  • Completed - Displays all entries where the workflow process has completed from initiation to final approval without error. You will have the ability to delete or cancel entries with this selection.

  • In Progress - Displays all entries where the workflow process has been initiated, but has not been completed. You will have the ability to cancel any entry with this selection. For Employee Leave Requests, you will also have the ability to flag entries as needing correction.

  • Never Started - Displays all entries where the workflow process never started. You will have the ability to delete entries with this selection.
