ETS Administration: Department Maintenance

Department Maintenance Overview:

The Department Maintenance page allows users to create and edit departments to be used for an employee's timesheet. Every Employee Timesheet user must be associated with a Department.


Menu Path:  Administration > Department Maintenance.

Adding a new Department

  1. Under Administration, select Department Maintenance.

  2. Select Add a New Department.

  3. Complete the fields.

  4. Select Save.

Editing a Department

  1. Under Administration, select Department Maintenance.

  2. Select Edit on the desired department.

  3. Edit the fields as needed.

  4. Select Save.

Department Maintenance Fields

Field

Details

Department Code

Code identifying the department.

Department Description

Description of the department.

Department Link

Which department, if any, this department is linked to. This department would be a sub-department of a 'Primary' department. Example: Department A is the main department and has no link defined in this field. Department A1 is a sub department of A and, therefore, has an A in the Department Link field.

Let Supervisor Submit Timecard

Option to allow the supervisor of this department to submit employee time.

Use Department Overrides

Option to allow access to define the override fields. Selecting this activates the following fields:

  • Weekly Overtime Hours Start

  • Number of Distributions

  • Allow User to Change Clock Time

Entry Type Flag

Selection of the entry type flag for the department timesheets.

Select:

D - Daily Time

C - Time Clock

A - Attendance Only

Overtime Calculation Flag

Selection for how overtime will be tracked and calculated.

Weekly Overtime Hours Start

Number of hours after which overtime is calculated for this department. Weekly options only.

Default Overtime Code

Defines the default overtime paycode for this department.

Number of Distributions

Sets the number of alternate distributions allowed. Enter 0 to not allow any alternate distributions. If alternate distributions are allowed, the Global Distribution table must be created.

Allow user to Change Clock Time

Option to allow users to change the time of entry on the clock. Only available if the Use Department Overrides field is selected.

Allow Employee to Change Time Clock Entries

Option to allow employees to change the time of entry on the clock.
